Shared spaces: check-in everywhere, every time

In line with Department of Health requirements, Monash Health has adopted the Victorian Government’s QR code service. From Thursday 22 July all employees will be required to check-in to our shared spaces using this service.

This will be familiar to everyone, as it is the same quick and easy process you see and use at cafés, shops and grocery stores across Victoria.

Please ensure you check-in everywhere, every time whenever you use shared spaces at Monash Health. These spaces include break rooms, offices, meeting rooms, on-site cafes and shared desk spaces, and each room/space will be given a unique QR code and unique location code.

What you need to do

Whenever you use a shared space at a Monash Health hospital or site, please check-in. This includes break rooms, on-site cafes, offices, meeting rooms and shared desk spaces.

How to check-in

Room-specific QR code posters have been distributed to all our hospitals and sites and will be rolled out to all areas.

Use your smartphone to scan the QR code, complete the form and check-in or use the shared device (available in some locations) provided.

  • Enter your name and contact number.
  • Your contact number can be a mobile or landline (area code + landline number)

For even faster check-in, download the Service Vic App (via the Apple store or Google Play), which allows you to save and re-use your details.

Don’t have a smartphone or can’t check-in?

Ask a colleague to help check you in, or use the paper-based form as a last resort.

Ensuring everyone has checked-in

New check-in posters and staying safe in shared spaces posters have been laminated, distributed to sites and are available from site coordinators. Managers, please collect the posters and arrange for their display by Thursday 22 July.

Top Tips:  

  • If you are running face-to-face meetings, add an additional agenda item that ensures all meeting attendees have checked in to the meeting room.
  • Check-in any colleagues that are unable to check themselves in.

Why you need to check-in

Checking in everywhere, every time is vital for record-keeping and to support efficient contact tracing if required.

Staying safe in shared spaces

It is still critical that rooms are not exceeding their capacity and that personal and hand hygiene etiquette and physical distancing is being observed at all times.

Before entering a shared space:

  • Check the room capacity is not exceeded.
  • Ensure you have brought a clean mask with you.
  • Remove your mask (and face shield if applicable) following the Monash Health procedure and dispose of in the appropriate bin.
  • Perform hand hygiene following removal of each item.
  • Check-in using the QR code (or paper-based form)

When using a shared space:

  • Maintain physical distancing.
  • Wipe down the table before and after use using the cleaning product provided.
  • Perform hand hygiene and don a clean mask (and face shield if applicable) once you’ve finished eating and drinking.

The data

All check-in data is housed in secure databases managed by Service Victoria. Unless Department of Health contact tracers request data for COVID-19 contact tracing purposes, it is automatically deleted after 28 days.
