Implementing a new Warehouse Management System

Monash Health is implementing a new digital Warehouse Management System which will allow our warehouse to track and trace orders more effectively.

To enable this change there will be an outage to our ordering system (I-Proc, Imprest, Winc, Allanby, & hTrak interface) from 3pm Friday 6 May to 12 noon Monday 9 May.

How will this impact me?

  • Monash Health employees will be unable to order any consumables, equipment, or services between 3pm Friday 6 May to 12 noon Monday 9 May
  • Delivery of goods ordered prior to the shutdown date will be delayed because receipting will be manual during the shutdown period.
  • We expect an increase in the lead time to process Non-Catalogue Requisitions (NCR’s) in the lead up to the system shutdown due to an increase in the volume of requisitions.

What is Procurement’s plan of action?

  • Ensure the organisation primes the supply chain to maximum level.
  • Procurement will increase their warehouse stock levels to maximum capacity.
  • Additional assistance will be provided to critical care areas.

What do I need to do?

  • Departments must increase their stock levels to their maximum close to the shutdown date.  Details will be communicated to all iProc users shortly.
  • Please ensure that your ordering employees and I-Proc users are available leading up to the shut down so they can order and increase stock levels to maximum capacity prior to the shutdown period.
  • Please consider secure and appropriate storage space for any additional stock on site during this time.

During the shutdown period, please contact procurement@monashhealth.org for urgent orders only. Please note, urgent orders require Executive approval.

When will the system be available again and what will I need to do?

  • The system is scheduled to be operational again from 12 noon Monday 9 May. In the unlikely event that there is an issue, this may extend to Wednesday 11 May.
  • Please ensure that you have sufficient stock to cover your requirements from Friday 6 to Wednesday 11 May.
