The EMR Capacity Management (CapMan) module has been introduced to manage patient flow across all Monash Health bed-based sites. All Bed Access Managers, Nurse Coordinators (NCOs), EPS and Subacute Clerks allocate beds across our health service as well as Nurse / Midwifery Managers, Associate Nurse / Midwifery Managers and Ward Clerks (as delegated by their Manager) are now placing transfer requests for patients who need to be moved between wards, theatre and procedural areas or between hospital sites using EMR CapMan.
All bed requests are now performed through the EMR by placing transfer request orders. This includes perioperative patients who are not returning to the same ward due to a change of acuity or patients who unexpectedly require an overnight bed.
There is support at hand for this change. A handy EMR Capacity Management Support Guide for Nursing Staff explains this new way of working, with links to key Capacity Management (CapMan) resources. These resources include short videos, QRGs and posters relevant to your work area. Be sure to work through the resources that apply to your area, including VHH and non-VHH sites.
How do I seek support for EMR CapMan?
For all Nurse/Midwifery Managers, Associate Nurse/Midwifery Managers and Ward Clerks (who currently place transfer requests as delegated by their Manager), you can:
- Speak to colleagues or your Manager about these changes.
- Refer to the EMR Knowledge Hub resources for key workflow documents. These documents include the following:

Please note that in ward areas, PFM Journey Boards will still be available for all ward leadership teams to visualise the movement of patients in and out of your local ward areas.
