Shared mailboxes now on M365

What’s happening

Outlook migrations are almost complete, bringing everyone and every mailbox into our new M365 environment by Friday 17 December.

Shared Mailboxes

From 10 December 2021, most shared mailboxes are accessible via Outlook on the Web, and in Outlook via your desktop icon.

Note: If the steps below don’t work and you’re working from home – you’ll need to access shared mailboxes using the Remote Desktop, or using Outlook-on-the-web.

Adding Shared Mailboxes to Outlook on your Desktop

If you were only recently added to a shared mailbox, it may take time before the shared mailbox appears in your Outlook menu on the left of the screen. Wait a few minutes and then close and restart Outlook again.

If that doesn’t work, then you can manually add the shared mailbox to Outlook:

  1. Open Outlook.
  2. Choose the File tab in the ribbon.
  3. Choose Account Settings, then select Account Settings from the menu.
  4. Select the Email tab.
  5. Make sure the correct account is highlighted, then choose Change.

If the inbox isn’t listed –

  1. Choose new New on the Email tab
  2. Type the shared email address details
  3. Enter your password (note: if your own password doesn’t work, contact the inbox owner for the relevant inbox password)
  4. Choose Next > Finish > Close.
