VHH Go-Live – Digital Readiness sessions and events

Whether you are a Victorian Heart Hospital (VHH) Manager, Employee, Super User or Champion there is a calendar of in-person and virtual events you need to attend prior to your first shift so you can be Go-Live ready. It is important to note that these Readiness sessions and events are in addition to the mandatory VHH EMR Training which includes eLearning on Latte and in-person SimLabs.

Mark the dates in your diaries and be on the lookout for invitations in your email inbox or event details on the VHH Information Site calendar.

VHH only Capacity Management (including Task Management) Interactive – online

Target Audience: Nurse Managers (including Associate Nurse Managers), Ward Clerks, Nursing Coordinators and Bed Managers who will work at the VHH

Monday 6 February 2:00pm to 3:00pm via Teams (session will be recorded)

(VHH-only) Nurse Managers, Associate Nurse Managers, Ward Clerks, Nursing Coordinators and Bed Managers have been sent an invitation to this CapMan Interactive and Q&A session which will highlight the workflow changes specific to VHH employees. This includes the task management functionality of CapMan for requesting cleaning and transport jobs, as well as the Pre-Admit workflow for VHH. Could Nurse Managers please forward the invite to your Associate Nurse Managers and ward clerks.

Frontline Manager Digital Readiness Session  – online

Target audience: VHH People Managers

Friday 10 February 2.00pm to 3.00pm via Teams (session will be recorded)

Managers of VHH employees have been sent an invitation to join this session and learn what they need to do to make sure their teams are ready from day one. The session will include information regarding the EMR Command Centre and Support Model for Go-Live. Opportunities to ask questions will be available during the online session.

Super User Briefing Sessions on-site at VHH – Collect your Super User T-Shirt!

Target Audience: Super Users (Champions welcome to attend or view recorded session)

Wednesday 15 February 12noon to 1.00pm in-person at VHH (location TBC, session will be recorded)

Thursday 16 February 12noon to 1.00pm in-person at VHH (location TBC, session will be recorded)

Invitations will be sent to Super Users (and Champions) with further details and Super Users can expect to be booked into a shift at VHH on one of these two days – our Change and Transformation team will contact you! Both sessions are identical so you will only need to attend one.

Super Users will play a vital role in familiarising and supporting employees and managers in the lead up to Go-Live and post day one opening at the VHH. It is essential to attend in-person at one of the briefing sessions to be prepared and ready to support our teams, collect your t-shirts and complete your shift for that day. More information will be made available to Super Users.

Log On Event on-site at VHH (Location TBC)

Target Audience: This event is relevant for ALL VHH employees requiring EMR access (non-medical), particularly our NEW STARTERS!

Wednesday 15 February to Friday 17 February 8.30am to 4.00pm in-person at VHH – no bookings required

Monday 20 February to Wednesday 22 February 8.30am to 4.00pm in-person at VHH – no bookings required

No bookings are required however if your employees will be on-site at VHH during this time for a site tour or other orientation activities, we recommend they also attend the Log On event. Please email Sara.Bennett@monashhealth.org to advise if your team will be on-site on a particular day and we can cater to you.

All VHH employees (non-medical) can ensure they are ready to access the EMR and some other key systems e.g. Baret. The Logon Event will ensure you are in the correct EMR position after completing training and provide an opportunity to set up your key preferences (e.g. patient, ward, unit lists and iView bands).

Favourites Fair for VHH Medical Employees and Nurse Practitioners – Location and session times TBC

Between Wednesday 15 February to Friday 17 February and Monday 20 February to Wednesday 22 February the Favourites Fair event will be available to all VHH Doctors and Nurse Practitioners.

Doctors and Nurse Practitioners who will be working at VHH will be able to set up their ‘Favourites’ to ensure a smooth transition at Go-Live. This may include setting up/reviewing your:

  • Correct EMR position
  • Ambulatory Organiser (set up your clinics and favourites/filters)
  • Patient Lists/Doctor Worklist
  • ECG Filters on the Cardiovascular Worklist
  • Ambulatory Autotexts and ‘Quick Visits’
  • Baret mobile installation and registration

These 1:1 sessions are expected to take 30 – 60 minutes and will ensure you are ready for Go-Live!

Other Familiarisation Events – a great opportunity to see the system, devices and ask questions!

In order to prepare for the new digital changes that the VHH will bring, there are a number of Engagement Resources and Familiarisation Events you can attend and access on-line, in-person or catch up on via recordings. The Victorian Heart Hospital Information Site is a valuable ‘one-stop-shop’ for resources, events, and latest news to make sure you are ready for your first shift at the VHH.

Here you will find: 

  • Recordings of Virtual Interactives – for different professional groups or clinical areas to watch at a time convenient for you.
  • VHH EMR Workflow Posters – (click the link then scroll down to view) these highlight the key digital changes for each professional group and can be printed and shared with your teams and areas so they understand how the integrated systems at VHH will impact them.
  • Familiarisation Events Calendar – that lists all of the Familiarisation events occurring in the lead up to Go-Live as well as tours. There are a combination of virtual and on-site engagement sessions, including ‘Interactive Demos and Q&As’ and ‘Digital Walkthroughs at VHH’.
