What is the Microsoft Teams Phase 2 Pilot?

Microsoft Teams Phase 2 will introduce a range of new tools and features to improve collaboration and productivity. It aims to modernize collaboration and communication across the organization.

The introduction of these new tools is part of an ongoing commitment to innovation and continuous improvement, as we work to provide the best possible care and support to our patients and staff.

We are excited to announce the launch of our pilot program aimed at testing and refining our systems and design before a full-scale rollout. The pilot program will include a diverse set of teams and departments across Monash Health and provide valuable feedback to improve our Information Architecture and Governance Plans.

About the tools

Microsoft Teams is a platform for real-time collaboration and communication with chat, meetings, and document sharing. You’ll use Teams to access your OneDrive and SharePoint sites.

SharePoint: Web-based platform for collaboration and document management, enabling teams to work together, manage projects, share information, and automate workflows.

OneDrive: Personal cloud storage for staff to securely store and access files across devices, with automatic syncing and mobile access.

Who is involved?

The Pilot will be made up of 8-10 departments/teams from across the organisation, including:

  • Nursing
  • Research
  • Community & Outpatient
  • Administration

What we’ll learn

The Pilot Program aims to test and refine our systems and design our digital environment with a diverse set of teams before a full-scale rollout to the organisation.

We’ll be focusing on how our work can be integrated and streamlined using Microsoft Teams as our primary work interface. This means you’ll access your documents using Microsoft Teams, while the documents themselves are stored and managed through SharePoint and OneDrive.

There are so many ways to work with Microsoft 365, by introducing these tools to limited groups, we’ll learn what does and doesn’t work for us. That means when we introduce more people, we’ll have tried and tested advice and support to provide. We’ll find the best way to train you and test out our materials during the pilot to help the whole organisation on the journey later.

Our Timeline

This project has a long timeline, because we don’t want to rush complicated work. This means most people at Monash Health won’t see a change in their digital tools until the end of this year.

Frequently Asked Questions

Any plans to integrate other functions (e.g., docusign and ELO)?

We are currently working to build the foundation of M365 before we explore adding more functions. Once the pilot is complete, we’ll understand how to integrate 3rd party applications like docusign.

When can we use Microsoft Teams in meeting rooms?

Microsoft Teams Rooms is a work in progress. We are working on a proof-of-concept boardroom for our design. This will determine the configuration for all the meeting rooms across Monash Health, which we will then implement over the course of the Project.

Is OneDrive replacing H Drive, and will it have more than 2gb storage?

The structure is complex, but yes, OneDrive will replace your H Drive. OneDrive will match H Drive’s storage limit of 2gb.

Most of your data will be stored in SharePoint, this includes meeting recordings (you’ll learn more about how to do this when we introduce the tools across the organisation).

OneDrive will be used for personal documents only including payslips, HR documents, and things that you don’t want or need shared with anyone else.

Will there be further training on this? It’s so confusing.

Yes, guidance will be produced in several formats. As part of the pilot process, we will identify the right mix of training methods for the organisation and bring everybody on the journey in a medium that suits them.

Will my existing SharePoint site be accessible once we go live with Phase 2? Will I lose functionality?

All current SharePoint and Teams sites will need to undergo significant modification to fall in line with the new standard and structure, but you will not lose any of your data. All sites will continue to work until they are moved/changed to the new structure. The aim is that you’ll be able to use the tools in a way that allows IT to fully support your work. We’ll let you know more over the next few months.
