UKG Dimensions Launch: Leave requests, timecard approvals, and getting help

The UKG Dimensions system is now live for timekeeping and rostering. You can find training and support information on the UKG Dimensions Support Knowledge Hub.

As everyone starts using UKG Dimensions over the next few weeks, we’ll keep you up to date with the latest information and support.

When to use KRONOS

These pay periods (Timecards) must be checked and approved in the current Kronos system:

  • Current N Pay Period (26 September – 9 October)
  • Next H Pay Period (3 – 16 October)

When to use UKG DIMENSIONS

These pay periods (Timecards) must be checked and approved in UKG Dimensions:

  • Next N Pay Period (10 – 23 October)
  • H Pay Period (17 – 30 October)

About Leave requests

Approved leave has been migrated from Kronos to the new UKG Dimensions rostering and timekeeping system.

  • New Leave Requests for N Pay run employees need to be made in UKG Dimensions from 10 October.
  • New Leave Requests for H Pay run employees need to be made in UKG Dimensions from 17 October, while new Leave Requests for dates before 17 October need to be made in Kronos.
  • Your accrual balance in UKG Dimensions for leave will display differently to the current Kronos system.
  • In the current Kronos system the accrual balance displays as the balance as of that day. In UKG Dimensions the accrual balance displays as the balance less any future approved leave.

In some cases, approved leave may not be reflected in the new system. Here’s what you need to know.

What is happening with pending leave requests?

Unactioned/Pending Leave requests Unactioned/pending leave requests in the current Kronos system have not been migrated to UKG Dimensions.
Leave requests approved after 13.40 pm 22 September Any leave approved after 13.40pm on 22 September in the current Kronos system has not been migrated to UKG Dimensions.
Leave requests approved before 13.40 pm 22 September Most future dated leave approved in the current Kronos system before 13.40pm on 22 September has been migrated to UKG Dimensions.

However, due to technical difficulties, some approved leave for 2023 and 2024 has not been copied across to UKG Dimensions.

What to do if you have submitted future-dated leave requests

  • Check your schedule in UKG Dimensions to see if your leave has been migrated.
  • If your future dated approved leave is missing, please re-submit your leave request in UKG Dimensions.
  • Any unactioned/pending leave requests must be re-submitted in UKG Dimensions.

Note: Managers will need to re-approve previously approved leave that has been re-submitted.
